Bar Code Asset Inventories with Mobile Scanner or Smartphone/Tablet

Assets are procured and are typically chronicled in a backend procurement software package. As such, there is a ‘record’ of the asset’s ownership. The ‘record’ of the asset is often documented within a spreadsheet or within procurement software. In either instance, tracking and accountability is difficult from the point of asset acquisition forward.

Further, it is common that procurement software includes a single line of data that corresponds to a quantity of assets, such as ‘Dell Laptop Q123’ may have a quantity of ten. Asset tracking requires that each physical asset corresponds to a single line of data in a corresponding asset management database or manual registry.

Portable bar code scanners enable fast and easy scanning of assets in storage and/or assets that have been issued and are in-circulation. The portable scanner transmits an infrared beam that scans a bar to identify an asset. Each shelf or storage location and/or each office or facility location can be equipped with a bar code ‘location’ tag. A person performing an inventory scans the location bar code and then scans each asset at the location.

The software on the scanner includes ‘smart’ capabilities. When a location is entered or scanned, a list of the assets expected at the location display. As assets are scanned, each asset (row of data displayed on the portable scanner) is color-coded based on criteria such as ‘expected and found’, ‘expected and not found’, unexpected and found’, ‘unknown bar code’ etc. Smart inventories enable Users to adjudicate inventories real-time, versus being required to run reports after an inventory and then re-trace physical locations to adjudicate the inventory data.

The inventory data updates the SmartTraxx asset management software to reflect the current locations and accountability of assets. As such, an organization can accurately account for its assets and meet compliance /financial requirements.
